Payments Policy

This Payments Policy ("Policy") outlines the terms and conditions governing all payment-related transactions between the client ("you") and Equafusion ("we", "our", "us"). By purchasing any of our services, you agree to the following terms regarding pricing, billing, milestones, late payments, third-party expenses, and tax obligations.
1. General Payment Structure
All projects or services with Equafusion require a formal, written quotation or service proposal that is acknowledged and accepted by both parties before any work begins.
Equafusion follows a flexible payment structure tailored to the type of service and offer being availed. Our typical models include:
50% Advance, 50% on Completion:
For most custom website development, design, and digital strategy projects, we follow a 50%-50% structure. An initial 50% advance is required to initiate the work. The remaining 50% is due at the time of final delivery or deployment, before handover of assets or credentials.
100% Upfront for Fixed or Promotional Offers:
Certain services, especially fixed-rate packages (e.g., pre-designed websites, promotional discounts, template-based services), require full payment in advance. This also applies to services purchased under any seasonal offer or limited-time discounts.
Milestone-Based for Larger Projects:
Projects of a larger scale may follow a milestone-based payment model, such as 30%-40%-30%, or as discussed and agreed prior to initiation. Each phase will only begin upon receipt of the preceding milestone’s payment.
Any variation from these standard structures must be explicitly mentioned in the agreement and acknowledged in writing by both parties. Equafusion reserves the right to modify or request full payment upfront for any client with a prior record of late or partial payments.
2. Accepted Payment Methods
Equafusion accepts payments through both direct and gateway-assisted channels, depending on the nature and location of the project. The primary payment methods include UPI, direct bank transfers (IMPS/NEFT/RTGS), and secure partnered payment gateways for international or domestic transactions. Clients may also pay via credit or debit cards using these partnered platforms.
Payments processed through third-party gateways are subject to the terms, processing times, and any associated fees of those gateways. Equafusion has no control over delays or technical issues that may arise from these third-party systems.
In certain cases, clients may be provided with direct bank account details for payments, particularly for high-value or corporate projects. These transactions are expected to be confirmed via email or shared proof of payment to ensure accurate billing and tracking.
We do not accept cash, cheques, or cryptocurrency unless specifically agreed upon in writing beforehand.
3. Invoicing
Clients will receive a digital invoice for every transaction or milestone, clearly stating the services covered, applicable taxes, and payment due dates. Invoices are usually sent to the email address provided by the client at the time of onboarding or project agreement.
In most cases, invoices are sent on the same day the payment is received. However, some delays may occur due to internal processing, high workload, or system updates. Clients are encouraged to reach out to our billing support if they have not received an invoice within 3 business days.
All invoices are valid and binding under GST or international tax laws. If GST is applicable and collected for any transaction, it will be clearly billed and mentioned in the invoice. In cases where GST is not applicable, no such charge will appear. Payments are due within 3 to 7 calendar days of invoice generation unless otherwise mutually agreed upon in writing.
4. Late Payment Policy
Delayed payments beyond the specified due date will attract a late fee of 3.5% per month on the outstanding amount or a flat administrative charge of ₹599 plus applicable taxes, whichever is higher. This helps us cover administrative and operational disruptions caused by non-compliance with agreed timelines.
Projects with delayed payments may be paused without notice, and timelines can be rescheduled based on Equafusion's availability. If the payment delay exceeds 15 days, Equafusion reserves the right to terminate the project and withhold all deliverables, data, and licenses until full payment, including applicable charges, is received.
5. Taxes and Government Levies
All quoted prices are exclusive of GST (for Indian clients) or any international taxes applicable.
Clients are responsible for all applicable government taxes, duties, and surcharges imposed on their end, including cross-border transaction fees (if any).
6. Third-Party Charges
Equafusion may procure third-party services such as domain registration, hosting, email tools, or software licenses on behalf of clients. These costs will be communicated prior to purchase and must be reimbursed by the client in advance. Clients also have the option to directly procure such services if preferred.
If clients choose to renew any third-party service on their own, Equafusion bears no responsibility for timely renewal, access, downtime, or related support. However, if Equafusion is managing the service (e.g., under a maintenance plan), then additional renewal charges and service fees may apply. For clients enrolled in the Equafusion Plus Membership, renewals managed by Equafusion are free of charge.
All renewals carried out by Equafusion are chargeable, and charges will be shared with the client in advance. For clients with an active Equafusion Plus Membership, renewals managed by Equafusion are provided at no additional cost, including service or convenience fees.
Equafusion assumes no liability for third-party service disruptions or policy changes unless explicitly covered under a signed service level agreement (SLA). Any additional costs related to:
Domain names
Hosting services
Google Workspace or third-party email providers
Software licenses
Plugin subscriptions
APIs or payment gateways will be communicated in advance and either billed separately or purchased directly by the client.
Equafusion may procure such services on behalf of the client, in which case the client agrees to reimburse the full amount in advance. These third-party products and services are subject solely to the terms and conditions of the respective providers. Equafusion has no control over, and assumes no responsibility for, their charges, performance, or renewal policies unless the services are explicitly managed under a dedicated Equafusion plan.
7. Non-Payment & Legal Recourse
Failure to pay invoices despite reminders may lead to:
Account suspension
Project termination
Legal notices and recovery through appropriate legal channels
All legal and collection costs will be borne by the client in case of dispute.
8. No Refund After Payment Milestones
Once a milestone or phase is completed and approved (even verbally or by action, like sharing access), that payment is non-refundable.
Refund eligibility is governed strictly by the Equafusion Refund Policy and not by individual expectations.
9. Payment for Add-On Requests
Any revisions or features requested outside the agreed scope will be treated as an add-on and charged separately.
No add-on work will begin until full payment for the add-on is received or agreed upon in writing.
Timeline extensions caused by add-ons will be clearly communicated.
10. Equafusion Plus & Subscriptions
Equafusion Plus Membership or any monthly/yearly subscription service offered is non-refundable, but can be cancelled at any time.
Access to exclusive discounts, templates, or managed services under such plans is only available until cancellation.
Cancellation requests must be made before the renewal date to avoid the next charge.
11. International Clients
For overseas payments, clients are responsible for currency conversion fees, international taxes, and compliance with local laws.
Equafusion will quote in USD, EUR, or INR depending on the region. Final receipts will be provided digitally.
12. Security & Confidentiality
Equafusion does not store client card or payment information unless explicitly required by law or banking regulations.
All payments are handled via secure third-party gateways compliant with PCI DSS and international safety standards.
13. Policy Updates
Equafusion may revise this Payments Policy from time to time. Clients will be informed of major changes via email or on our official website. Continued engagement after updates constitutes acceptance of the revised policy.
