Work Completion & Revisions Policy

This policy governs the processes and terms related to project completion, revisions, and additional work requests ("add-ons") for all services provided by Equafusion ("we", "our", "us"). By engaging in any service or project with Equafusion, the client agrees to comply with the guidelines outlined below.

1. Work Completion Terms

  • A project is deemed “complete” when the deliverables defined in the mutually agreed scope of work (SOW), quotation, or agreement have been delivered, reviewed, and either approved or not disputed by the client within the specified review period.

  • Equafusion will formally notify the client when the final output is ready for review.

  • Once delivery notification is sent, clients are provided 7 calendar days to raise concerns, ask for eligible revisions, or approve the work. After this period, the project will be considered automatically accepted and closed.

  • If clients remain unresponsive after three follow-ups during the review phase, Equafusion reserves the right to auto-close the project.

2. Revisions Policy

  • Clients are entitled to a limited number of free revisions, as defined in the original agreement. Any revisions beyond that count may be billed separately.

  • Revisions are generally governed by the specific contract or project agreement. However, by default, one basic revision is offered free of charge—only when the delivered project does not align with the agreed scope, requirements, or expectations as initially defined by the client.

  • If the client requests additional changes after approving the scope or introducing new requirements not previously discussed, such changes will be subject to additional charges as applicable.

  • Revisions must fall within the original agreed scope. Any requests that involve new features, restructuring, redesigning, or changing fundamental parts of the deliverables will be treated as “add-on” work.

  • All revision requests must be clearly listed and submitted in writing or over the designated project communication channel.

  • Equafusion will not honor vague requests like “make it better” or “improve overall” unless specifics are provided.

  • Turnaround time for revisions depends on the complexity of the request and existing production schedules, which will be communicated to the client., as defined in the original agreement. Any revisions beyond that count may be billed separately.

3. Add-On Work Policy

  • Add-on work refers to any request that goes beyond the scope of the initial project agreement or proposal.

  • Examples include: new pages, features, API integrations, changes in layout structure, database expansion, payment gateways, multilingual setup, and marketing tools not originally discussed.

  • All add-on requests must be evaluated by Equafusion and formally quoted and approved before implementation begins.

  • Payment for add-on work is required in full or in agreed milestones prior to commencement.

  • If multiple add-on requests are made during an ongoing project, the delivery timeline of the original scope may be extended proportionally.

4. Project Pausing & Archival

  • If a project is delayed by the client for more than 15 consecutive days without proper communication, Equafusion reserves the right to pause or archive the project.

  • Re-activation of archived projects will incur a restart fee and require a revised timeline based on current resource availability.

  • Archived project files and progress may be stored for a maximum of 30 days after pausing. Post that, Equafusion is not liable for retrieving or restoring old project assets unless a backup contract is in place.

5. Client Responsibilities

  • Clients must provide all necessary content, access credentials, business information, and design preferences before project kickoff.

  • Any delay in providing required materials may lead to a corresponding delay in project delivery or revision timelines.

  • Consolidated feedback is expected. Scattered or repeated changes that contradict previous approvals may lead to additional charges or project termination.

6. Exceptions

  • Projects involving third-party coordination, government approvals, or regulated environments may have separate revision and add-on rules.

  • Equafusion is not responsible for delays or revision limitations due to third-party vendors, licensing partners, or APIs unless explicitly managed under our responsibility.

7. Final Closure & Satisfaction

  • Once final deliverables are submitted and the revision cycle is completed, Equafusion will request the client to formally acknowledge project completion.

  • If no response is received within the stipulated time, the project will be marked complete, and post-delivery support will only be available under a maintenance or support agreement.

  • Any changes requested after final closure will be treated as a new project request or add-on, and will be charged accordingly.

8. Policy Modifications

Equafusion reserves the right to update or amend this policy at any time to reflect changes in business practices, client requirements, or legal compliance. The latest version will always be available on our official website. Continued use of our services after a policy update will indicate your acceptance of the revised terms.
