Data Retention Policy

At Equafusion, we are committed to protecting the data of our users, clients, and partners. This Data Retention Policy outlines how long we retain personal data, the purposes for retention, and how data is securely handled, in accordance with applicable global data protection laws including the GDPR (EU), CCPA (USA), DPDP (India), and others.
1. Purpose of Data Retention
We collect and retain certain categories of data to:
Provide services to our users and clients
Fulfill contractual obligations
Maintain accurate business and financial records
Comply with legal, tax, and regulatory requirements
Improve system performance and security
Support operational and service-related activities
2. General Retention Periods
We retain data only for as long as necessary to fulfill the purposes outlined above. Unless otherwise required by law or contractual obligation, we apply the following retention periods:
Client account information: Retained for 5 years from the end of client relationship
Contact and inquiry forms: Retained for 2 years
Service logs and usage records: Retained for 12–24 months
Invoices, payments, and billing records: Retained for 7 years, as required by tax authorities
Email communications and project documentation: Retained for 3 years post-project completion
Analytics data (via Google, Cloudflare, Meta): Retained in anonymized form for up to 24 months
3. Domain, Hosting & Third-Party Data
If Equafusion purchases domains or third-party services (e.g., via GoDaddy, Dynadot, or others), relevant client data is retained in line with third-party retention policies, which may differ. Equafusion stores associated credentials and metadata as long as the service is active, or for up to 12 months after cancellation.
4. User Rights Regarding Retained Data
Under GDPR, DPDP, and similar regulations, users have the right to:
Request access to their stored data
Request corrections or deletion
Withdraw consent or request data portability
Such requests must be submitted to support@equafusion.com and will be processed in compliance with applicable law within the standard period (e.g., 30 days).
5. Secure Deletion
Data no longer required for legal or operational reasons is securely erased using irreversible methods. Backups containing expired data are purged during scheduled clean-up cycles.
6. Exceptions to Standard Retention
Certain data may be retained longer if:
Required to defend legal claims
Part of financial audits
Required by contractual agreement
Required under any investigation or law enforcement directive
7. Data in Backups and Archives
Data stored in encrypted backups may remain for up to 12 months beyond standard retention periods for disaster recovery and legal compliance. Once expired, they are removed permanently in the next cleanup cycle.
